This policy explains what Spartan Scanning Solutions collects when you use spartanscan.com, why we collect it, and what choices you have. It covers this website. It does not cover data captured during a scanning engagement, which is governed by your service agreement.
Who we are
Spartan Scanning Solutions provides reality capture, visual twin, and digital twin services to industrial facilities. Our website is spartanscan.com. To reach us about this policy, call 888-354-SCAN or use our contact page.
Information you give us
We collect what you submit through forms on this site. That typically includes your name, email address, phone number, company, and whatever you write in a message or request field. Forms on this site are handled by HubSpot, our customer relationship management platform.
If you book a free virtual site visit or request a consultation, we use that information to contact you, prepare for the meeting, and follow up.
Information collected automatically
When you visit the site, some information is collected without you entering it:
- HubSpot analytics. HubSpot sets cookies including
hubspotutk,__hstc,__hssc, and__hssrc. These record pages you view, how you arrived, and repeat visits, and they link that activity to you if you later submit a form. - Apollo website visitor tracking. We use Apollo.io, which attempts to identify the company associated with a visitor and may match visits to business contact records held in Apollo’s database. This is business-to-business identification. It can associate your visit with your employer and, in some cases, with you individually.
- Google reCAPTCHA. Forms are protected by reCAPTCHA, which collects hardware, software, and interaction signals to distinguish people from bots. Use is subject to Google’s privacy policy and terms.
- Server logs. Our host records standard request data including IP address, browser type, and pages requested.
- Gravatar. If you leave a comment, a hash of your email may be sent to Gravatar to display an avatar.
We do not run Google Analytics on this site.
Cookies
Cookies are small files stored by your browser. This site uses them for the analytics and form functions described above. You can block or delete cookies in your browser settings. Blocking them may stop forms or some page functions from working correctly.
How we use your information
- Responding to enquiries and scheduling site visits
- Preparing proposals and delivering services
- Sending information you asked for
- Understanding which pages and topics are useful, so we can improve them
- Protecting the site from spam and abuse
- Meeting legal and record-keeping obligations
We do not sell your personal information.
Who we share it with
We share information with service providers who process it on our behalf, including HubSpot (customer relationship management and forms), Apollo.io (visitor identification and sales engagement), Google (reCAPTCHA), and our web host. Each processes data under its own terms. We may also disclose information where required by law.
How long we keep it
Enquiry and customer records are kept for as long as we have a business relationship with you and for as long afterwards as we need them for legal, tax, or record-keeping purposes. Website analytics data is retained according to the retention settings of the platforms named above. Comments and their metadata are retained indefinitely so follow-up comments can be recognised.
Your rights
Depending on where you live, you may have the right to request a copy of the personal information we hold about you, ask us to correct or delete it, object to or restrict certain processing, or withdraw consent. Residents of California, and of jurisdictions covered by the GDPR, have specific rights under those laws.
To make a request, contact us at 888-354-SCAN or through our contact page. We may need to verify your identity before we act.
Most browsers offer a Do Not Track setting. There is no accepted standard for how sites should respond to it, and this site does not currently respond to it.
Security
This site is served over HTTPS. We take reasonable measures to protect information, but no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Other sites
This site links to other websites. We are not responsible for their content or privacy practices. Read their policies before providing information to them.

This site is intended for business use. It is not directed to children, and we do not knowingly collect personal information from anyone under 16.
